Section A: Overview of Data Handling at PlotTech

1. Introduction

PlotTech (operating as Plot Tech Ltd or “we,” “us,” “our”) provides Software-as-a-Service (SaaS) solutions—such as PlotSnag, PlotFire, and PlotBREL—that enable users to capture, view, and manage data associated with property development and construction. We recognise that the data we handle may be highly sensitive (e.g., housing images, defect details, plot information, contra charges) and personal (where applicable). This document:

• Explains our data governance and security measures in Amazon Web Services (AWS)
• Describes how we satisfy GDPR and other regulatory requirements
• Details how data is stored, processed, and ultimately returned or destroyed

It also integrates our formal Plot Tech Ltd Data Security Policy (see Section B).

2. Purpose and Scope

• Purpose: To provide a detailed view of PlotTech’s approach to data protection and security, focusing on AWS infrastructure, internal controls, and GDPR compliance.
• Scope: Covers all data captured via PlotTech apps or otherwise handled by us, including (but not limited to)
  • Housing images
  • Plot details
  • Defect details
  • Contra charges
  • Client business records
  • Personal data (for instance, user profile information)

This scope also covers the end-to-end data lifecycle: from collection and processing to storage and eventual disposal or export on contract termination.

3. Data Classification

PlotTech typically deals with the following categories of data:

1. Personal Data: Information identifying or potentially identifying individuals (e.g., user accounts, email addresses).
2. Client Data: Any data our clients upload that relates to their operations, including project-related documents or notes.
3. Project Data: Specific to construction projects, such as defect reports, images, plot details, and contra charges.

These data categories are protected per the technical and organisational measures outlined below, supplemented by our Data Security Policy in Section B.
