Plot Tech Ltd Privacy Policy

Version: 2.1

1. Introduction

Plot Tech Ltd ("we", "us", "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, share, and safeguard personal data when you use the PlotTech platform — including the PlotTech mobile application (with its Quality, Energy, and Fire capabilities), the web admin portal, the reviewer portal, the legacy applications PlotSnag, PlotFire, and PlotBREL, and the website plottech.app (collectively, the "Services").

Plot Tech Ltd is a company incorporated and registered in England and Wales (Company Registration Number 14404706). For the purposes of the UK GDPR and the Data Protection Act 2018, we are the data controller of the personal data described in this policy, except where Section 6 (Controller and Processor Roles) states otherwise. You can contact us about anything in this policy at [email protected] or at the postal address in Section 17.

2. Information We Collect

Account information. When you register we collect your name, email address, organisation, and role. Sign-in is passwordless: we send a one-time code to your email address, so we do not collect or store passwords.

Project and company data. Data you or your organisation enter into the Services in the course of your work, such as sites, plots, tasks, inspection records, comments, contact details of trades and assessors, and photographs. Photographs may include embedded metadata such as the date, time, and GPS location at which they were taken ("geotags"), which are used to evidence where and when site inspections took place. You can control the app's access to your device location through your device settings, though this may limit geotagging functionality your organisation requires.

Information about other people. The Services allow users to enter contact details of third parties, such as trades, subcontractors, SAP assessors, and building control contacts, so that inspections and actions can be assigned and notified. If your details have been entered into the Services by someone else, Section 6 explains who is responsible for that data and how you can raise queries about it.

Payment information. Subscription payments are processed by our third-party payment provider (currently Stripe). We do not collect or store full payment card details; we receive confirmation of payment and limited billing information only.

Device and usage information. Automatically collected information including device type, operating system, unique device identifiers, push notification tokens, IP address, app version, and information about how you use the Services (such as features used, actions taken, and error reports).

Support and communications. Information you provide when you contact us for help or support, and records of our correspondence with you.

3. How We Use Your Information and Our Lawful Bases

We use personal data to:
